Short version: We collect only what we need to run your account and subscription. Your meeting transcripts never leave your device. We do not sell or share your personal information for advertising.
1. Who We Are
ThavionAI ("we", "us", "our") operates Meeting AI, an AI-powered assistant for meetings and interviews. For privacy questions, email support@thavionai.com.
2. Information We Collect
Account Information
- Email address — required to create and manage your account
- Name — optional, used to personalize your experience
- OAuth identifiers — if you sign in with Google or Apple, we receive a unique ID and email from those providers
Usage Data
- Number of AI calls made (to enforce free-tier limits)
- Subscription status and billing dates
- Daily usage reset timestamp
What We Do NOT Collect
- Meeting transcripts — stored locally on your device only, never transmitted to our servers
- Audio recordings — processed in memory and discarded immediately after transcription; not stored on our servers
- Screen captures — processed in memory for AI analysis and never stored on our servers
- Chat/session history — stored locally on your device only
3. Third-Party Data Processors
We use the following sub-processors to deliver the service. Each is bound by their own privacy policies and data processing agreements.

4. How We Use Your Information
- Create and manage your account
- Enforce free-tier usage limits and process subscription payments
- Send transactional emails (e.g., password reset) — no marketing emails without explicit consent
- Diagnose bugs and crashes via anonymized error reports
- Comply with legal obligations
We do not use your data for advertising, behavioral profiling, or sell it to any third party.
5. Your Rights (GDPR & CCPA)
For all users
- Access: Request a copy of the personal data we hold about you
- Portability (Article 20 GDPR): Export your account data at any time from Settings → My Data → Export
- Erasure (Article 17 GDPR): Permanently delete your account and all associated data from Settings → My Data → Delete. This cancels your subscription and removes all records from our systems within 30 days.

- Restriction / Objection: Contact us to restrict processing of your data
California residents (CCPA)
- You have the right to know what personal information we collect and why
- You have the right to request deletion of personal information we have collected
- We do not sell personal information, as defined by the CCPA
- We do not discriminate against users who exercise their privacy rights
EU / UK residents (GDPR)
Our legal bases for processing are: (a) performance of a contract (your account and subscription), and (b) legitimate interests (crash diagnostics to improve reliability). You may lodge a complaint with your local supervisory authority if you believe we have violated applicable data protection law.
6. Data Retention
- Account data is retained until you delete your account
- Anonymized usage aggregates may be retained for up to 24 months for service improvement
- Crash reports are deleted from Sentry after 90 days
- Local data (transcripts, history) is never transmitted to us and can be removed by uninstalling the app
7. Security
We use industry-standard measures including TLS encryption in transit, Supabase row-level security, and hashed tokens. Crash logs are anonymized before transmission — emails and user IDs are redacted from log files before they are sent to Sentry.
8. Children
Meeting AI is not directed at children under 16. We do not knowingly collect data from children. If you believe a child has provided us with personal information, contact us and we will delete it promptly.
9. Changes to This Policy
We may update this policy from time to time. We will notify users of material changes by updating the effective date above. Continued use of the app after changes constitutes acceptance.
